In order to keep costs down, there are some great ways to save money on those supplies. The two major ways that a business can cut down on the costs of office supplies is when purchasing them, and when using them.

The price of office supplies can add up quickly. Since they are smaller purchases in the scheme of things, the added up costs are not really seen until they are counted up in a yearly quota. After a person has really taken the time to figure out what the business is spending on office supply costs, the amount is more than they bargained for. In order to get the best deals, look to the classic saying, "Buy in bulk." Just like with other warehouse type businesses, getting a few months worth of supplies at one time can cut down on the individual costs.

Another option for saving money while buying office supplies is to search online. Many supply companies offer great deals, and by searching for the best ones online the buyer is able to do some comparison shopping. The bulk buying can apply with this as well. The buyer might be able to find a cheaper price on their shipping and handling if they are buying a certain amount. Also, if a business is working with one supply company, they may be able to have a cut in price due to being a repeat customer.

The other major way to cut costs is to look at the use of the supplies after they have been bought. Not only is this cost friendly, but environmentally responsible as well. The first way to reduce cost is by reusing materials and supplies. Items such as three ring binders can be emptied and refilled with other information as it is updated. Other items like packaging materials and boxes can also be directly reused quite easily. Another fun thing to do is to keep an employee "pen pile." People can drop off pens they don't want to grab ones they like.

Paper is a major cost source that can be reduced as well. Copies should always be double sided. Also, if you think that the copy needs to be made for every employee, check to see if one large copy can be posted for everyone to see instead. Other ways to cut costs is to maintain a file folder exchange. Whenever an employee is done with file folders, they can put those folders in a box after removing the label. When the next employee needs a folder, a new label can be added.

Most general supplies can be reused if people make an effort. Small things like paperclips and rubber bands can be kept in a certain spot when employees are done with them. If a manager is having problems with certain supplies disappearing too quickly, then two things should be done. Whenever an employee needs supplies, they should use a supply request form. This way a tally can be kept about who is using what. Also, an office manager can be kept in charge of them by holding a key to the supply closet.
